CONTRACTOR DESCRIPTION:
NACRJ seeks candidates for the contracted position of Event Coordinator. This new position will be essential in supporting and coordinating the National Conference on Community and Restorative Justice. The coordinator collaborates with stakeholders, including NACRJ members, volunteers, and partner organizations, to ensure seamless event planning and implementation. The position oversees logistics, monitors budgets, coordinates contracts, and leads event marketing and promotion. With exceptional organizational and communication skills, the coordinator creates a meaningful program & event experience that fosters community building, knowledge sharing, and networking for NACRJ members and the wider community and restorative justice fields.
CONTRACTOR PRIMARY RESPONSIBILITIES:
- Work closely with NACRJ Executive Director and conference planning teams to plan, develop, organize, and implement the National Conference on Community and Restorative Justice and other related events being developed by NACRJ.
- Work closely with National Conference Planning Teams to provide support and coordination on all components of national conference planning.
- Collaborate with internal stakeholders, community members, and partner organizations to support event objectives and implement event concepts.
- Coordinate and support event logistics, event scheduling, and vendor management.
- Assist with managing event budgets, ensuring effective allocation of resources and adherence to financial guidelines.
- Assist with securing sponsorships, donations, and grants for events.
- Assist with the coordination of event contracts.
- Coordinate event marketing, outreach, and promotion efforts.
- Assist with recruiting and engaging event volunteers and provide necessary training and support.
- Coordinate speakers, manage schedules, and ensure their needs are met during events.
- Oversee event setup and necessary event elements.
- Evaluate event success, gather feedback from attendees, and generate reports highlighting key outcomes and areas for improvement.
- Lead development of the national conference website and registration process via CVENT Event Management System.
CONTRACTOR QUALIFICATIONS:
Required:
- Supportive of the mission of NACRJ and principles of community and restorative justice
- Committed to developing events and activities with a DEIJ (Diversity, Equity, Inclusion, and Justice) lens
- Care and concern for people and communities
- Strong interpersonal and relational skills with an emphasis on relationship building
- Strong verbal and written communication skills to effectively liaise with stakeholders, coordinate with vendors, and engage with diverse audiences
- Experience planning small- and large-scale events, preferably in a nonprofit or community-based setting
- Experience creating and developing marketing materials and resources
- Strong organizational skills to manage multiple events and activities, meet deadlines, and maintain attention to detail
- Self-starter, motivated, and driven
- Knowledge and experience with fundraising techniques
- Experience with managing event budgets, tracking expenses, and ensuring cost-effective solutions
- Experience supporting and organizing volunteers
Preferred:
- Experience with funds development, grant writing, and conference sponsorships
- Experience with CVENT Event Management System or similar system
- Experience with WordPress website software, Canva, and Zoom Events
- Experience with event contracts (i.e., venue, hotel, etc.)
